Topic 10: AI and Data Privacy: What Organisations Must Understand
As AI tools become more common in workplaces, data privacy is becoming increasingly important. Many AI systems rely on large amounts of information to generate responses, analyse patterns, or improve performance.
This creates important questions for organisations:
- What information is being shared?
- Who has access to it?
- How is it stored?
- And is it being used responsibly?
Employees may unknowingly paste confidential company documents, learner information, or client details into public AI tools. In some cases, this information may be stored externally or used to improve future AI models.
For South African organisations, compliance with data protection laws such as the Protection of Personal Information Act (POPIA) is essential.
Organisations should therefore:
- provide staff training on responsible AI use,
- develop clear workplace guidelines,
- restrict the sharing of sensitive information,
- and ensure that employees understand confidentiality obligations.
AI can offer many benefits, but organisations must balance innovation with responsible data protection practices.
