Topic 11: Using AI to Improve Communication and Collaboration

Communication challenges exist in almost every workplace. Emails are misunderstood, meetings become unproductive, and important information is sometimes lost in long discussions. AI tools are increasingly being used to help improve workplace communication and collaboration.

Many organisations now use AI to:

  • summarise meeting notes,
  • draft professional emails,
  • improve grammar and tone,
  • organise information,
  • and translate content into simpler language.

These tools can be especially useful in diverse South African workplaces where employees may communicate across different languages, backgrounds, and levels of experience.

AI can also help remote or hybrid teams stay organised by generating summaries, tracking action points, and improving information sharing.

However, communication still requires human awareness and emotional intelligence. AI cannot fully understand workplace relationships, sensitive situations, or cultural context.

Poorly reviewed AI-generated communication may sometimes sound impersonal, confusing, or inappropriate.

AI can support communication, but authentic human interaction remains essential for trust, teamwork, and effective leadership.
