Topic 14: How to Write Better Prompts for AI Tools

The quality of AI-generated responses often depends on the quality of the instructions provided. These instructions are commonly called prompts.

A vague prompt may produce weak or inaccurate results, while a clear and detailed prompt can generate far more useful information.

For example, instead of asking:
“Write a report”

A stronger prompt may say:
“Write a short workplace incident report using professional language for a South African training environment.”

Good prompts often include:

  • clear instructions,
  • context,
  • desired tone,
  • length requirements,
  • and specific outcomes.

Employees who learn prompt-writing skills may use AI more effectively for communication, administration, research, and learning support.

However, even strong prompts do not guarantee perfect results. AI-generated content still requires human review and professional judgement.

As AI becomes more common in workplaces, prompt-writing may become an increasingly valuable workplace skill.
